Living Ministries St Patty’s Day Fling Planning Meeting

Attendance: John Hanna, Karen Gidderon, John Coleman, Linda Haarstand, Debra Lawson-Bean, Karinsa Viramontes, Summer Clemenson
Meeting was called to order at about 1 pm by Summer Clemenson, President.
We decided on a menu of:
  • Corned Beef
  • Steamed Cabbage
  • Roasted Potatoes
  • Rolls
  • Chocolate cake with special butter sauce
  • Coffee, Tea, Punch & Water
Shopping List includes:
  • Cabbage
  • Corned Beef – 200 lbs
  • Beer – 24 pack of beer
  • Butter – 4 lbs just for the Corned Beef
  • Garlic – 1 container of peeled garlic
  • Potatoes
  • Chocolate Cake ingredients and butter sauce ingredients
  • Tetley Tea
  • Coffee
  • Bottled Water
  • Punch ingredients
Summer will create tickets – 300 will be printed. She will contact Copies Today to see if they will donate printing. Tickets will be $12 per plate. Cut off date is March 10th to get the right about of food items.
Karinsa suggested we get a stamp to mark people that have used their dinner tickets. We will talk to Copies Today about make one for Living Ministries to be used at other functions.
Summer called Kelso Senior Center and found out that the building is not available on our date. Karinsa let us know that the Expo Center would be several thousand dollars.
It was decided that although AWPPW Hall does not have a commercial kitchen which represents a transportation issue and the need to find a commercial kitchen to prepare food, that it would be more cost effective to use the the hall which is a perfect venue for the event and rent commercial roasters and find a kitchen to bake cookies and cake in and transport.
Debra Lawson-Bean presented $60 toward a sponsorship for Angel Wings Ministry and John Coleman offered $200 from JC’s PC Repair as a sponsorship to assure we have enough cash to establish the building.
Summer called Dan at AWPPW Hall. Cost for the building is $300 to rent, $150 for cleaning and a $300 deposit in case of damages which will be refunded if we return the building without damages. $300 is needed on Monday via Cashier’s Check made to Local 153 Association to get the building. Summer made arrangements to get that to him and take another look at the building on Monday at 4 pm.
Karen and Tom have been talking to specific businesses about sponsorship. Karen is going to talk to Doug from The Dog Zone about sponsorship. We need to make a list of animal related businesses and contact them as well. John Hanna volunteered to contact these businesses.
Amounts of food products will be determined by ticket sales. Linda is going to contact all the grocery stores to see if we can get all the meat donated.
Debra was on her way to Remnant Farms today and will talk about what they can do to help with the event. She also took a few sponsorship flyers to distribute.
Summer will be designing flyers and tickets this weekend and her friend Angela Fowler will help her contact the school districts to get flyers okayed to distribute to the children.
Debra will make cookies to sell during events.
Line up of events:
1 to 3 o’clock: Pet Parade, Pet Dancing Contest, Pet Kissing Contest, Pet Costume Contest – Cost to be in all events: $5 per pet. All pets that are comfortable in crowds and with other animals are welcome. Must be leashed or in a cage.
3 to 5 pm:
Pet Cricket Class by The Pet Works – $5 per child
Pictures with Dino Doozer by Amanda Wilson Portraiture – $5 per picture
Random Games and activities – Would like to talk to Aaron’s about borrowing 2 flat screen TVs an X-Box Kinect, Classics about borrowing an Atari and Minus World about some arcade games. – 1 game per ticket – 2 tickets for $1
5 to 7 pm: Dinner
7 to 9 pm: Irish music jam bYoI
Karinsa, John Hanna and John Coleman all have food handler’s cards. We agreed that all committee members should have a food handler’s card. Linda, Tom and Debra can get their cards at LCC. Summer and Karen will go to Vancouver and take Jamie with them to get their cards since Jamie doesn’t drive, unless we can make arrangement for her to be at the Feb 23rd meeting and get them earlier in the afternoon. Summer double-checked and food handler’s cards are issued by the state.
